We are seeking a highly organized and detail-oriented Office Administrator to support daily office operations. This role plays a key part in ensuring efficiency across departments by providing administrative support to Sales and Operations, maintaining accurate documentation, and fostering a well-organized and compliant workplace.
 
Shift: Monday-Friday 8:00am-5:00pm

Responsibilities
Administrative & Team Support
  • Answer, screen, and direct incoming calls in a professional manner
  • Provide day-to-day administrative support to Sales and Operations teams
  • Coordinate and book travel, including flights, hotels, and itineraries
  • Order and maintain office supplies; manage company apparel inventory
  • Modify purchase orders and documents using Adobe
Data & Document Management
  • Upload and manage documents within a paperless tracking system
  • Maintain accurate product inventory logs and supporting documentation
  • Scan and process AP invoices from mail and email
  • Manage FedEx label creation and shipping coordination
  • Maintain company territory and extension reference lists
Sales Support
  • Process equipment sale and rental agreements
  • Ensure customers provide accurate Certificates of Insurance (COIs)
  • Maintain vendor records, including COIs and W-9 documentation
  • Enter daily cash receipts and assist with job-specific insurance compliance
Facility & Collaboration
  • Collaborate with Sales, Service, Parts, and Accounting teams
  • Maintain a safe, clean, and organized office environment
  • Ensure compliance with company policies and legal regulations
Skill Requirements
  • High school diploma or equivalent required; Associate degree preferred
  • 2 – 5 years of administrative or office support experience
  • Strong organizational skills with attention to detail
  • Ability to multitask and prioritize in a fast-paced environment
  • Proficiency in Microsoft Office (Word, Excel, Outlook)
  • Experience with Adobe (PDF editing) preferred
  • Strong communication and interpersonal skills
  • Ability to work both independently and as part of a team
Preferred Skills
  • Experience with document management or paperless systems
  • Familiarity with accounting processes (AP, cash receipts)
  • Experience in equipment rental, construction, or industrial industries is a plus
