Hammer & Steel seeks an experienced Accounts Receivable Specialist responsible for managing daily cash application activities, maintaining customer accounts, and performing routine collection efforts to support timely payment of outstanding balances. This role serves as a key point of contact for customer account inquiries and provides additional support within the Accounts Receivable department, including statement distribution, invoice documentation requests, lien waiver processing, and account reconciliation.
This is a full-time position. Days and hours of work are Monday through Friday, 8:00am to 5:00pm. Occasional overtime hours may be required to meet the demands and needs of the business.
Essential Duties and Responsibilities
- Apply and reconcile customer payments received via ACH, wire transfers, checks, lockbox, and credit card transactions.
- Investigate and resolve unapplied cash, payment discrepancies, short payments, billing issues, and account variances.
- Manage collections activities by contacting customers regarding past-due invoices, payment commitments, disputes, and account balances.
- Generate account statements, aging reports, and provide invoice copies, proof of delivery, and other customer documentation.
- Collaborate with sales, service, rental, and accounting teams to resolve account issues, support collections, and maintain accurate customer records.
- Support A/R department, lien waivers, reporting, and overall Accounts Receivable operations while delivering excellent customer service and fostering strong customer relationships.
- High School Diploma or GED certificate
- Associates degree or coursework in Accounting, Finance, or Business Administration
- Minimum 2+ years of experience
- Basic training in booking or office technology.
- Excel and computer skills. Strong grasp of data entry.
- Accounting software. Knowledge of tools including ERP or other office software.
- Math skills. Good with numbers and basic accounting.
- Communication. Clear speaking and writing to converse with customers.
- Detail oriented. High accuracy and attention to detail.
Preferred skills
- 5+ years of work experience in accounts receivable and billing positions with progressive job responsibilities and a proven track record of success.
- Experience within the heavy equipment, construction, industrial, or manufacturing industries is a plus.
- Strong attention to detail, organizational skills, and problem-solving abilities.
- Strong data entry skills combining speed and accuracy
- Proficient in Microsoft Excel and ERP/accounting systems. Experience with Microsoft Business Central is a plus.
- Excellent written and verbal communication skills.
- Ability to manage multiple priorities in a fast-paced environment.
